Appointment, Cancellation & Attendance Policy

Brandon Cope Medical Massage operates as a professional clinical practice. Appointment times are reserved exclusively for each client to ensure focused, uninterrupted care. We expect a high level of commitment from each of our clients. Because reserved time cannot be offered to another client on short notice, the following policies are strictly enforced.

Scheduling & Payment

  • A valid credit or debit card is required to reserve all appointments.
  • All sessions, packages, and training appointments must be prepaid or paid at the time of the appointment.
  • By scheduling an appointment, you agree to the policies outlined below.

24-Hour Cancellation Policy

A minimum of 24 hours’ notice is required to cancel, reschedule or modify any appointment in any way.

  • Cancellations with less than 24 hours’ notice will be charged 100% of the scheduled appointment fee.
  • Rescheduling with less than 24 hours’ notice will be charged 100% of the scheduled appointment fee.
  • Missed appointments (“no-shows”) will be charged 100% of the scheduled appointment fee.
  • Late appointment changes for package appointments will result in that appointment being deducted.

This policy protects appointment times reserved specifically for you and ensures fairness to other clients seeking care.

Late Arrival Policy

Clients arriving late will receive the remaining portion of their scheduled appointment and will be charged for the full appointment time.

Sessions will not be extended due to late arrival.

Progressive Attendance Policy

Consistent attendance is essential for clinical results and schedule integrity.

If repeated late cancellations, rescheduled or missed appointments occur within a six-month period disciplinary action will be taken:

  1. First occurrence: Appointment fee charged in full.
  2. Second occurrence: Future appointments require prepayment and may be moved to non-peak hours.
  3. Third occurrence: Future appointments require an additional scheduling fee, 25% of the total appointment fee. In some cases, continuation of services may be terminated. 

These measures ensure appointment availability for clients who consistently attend their sessions.

Illness & Emergency Exceptions

Exceptions to the cancellation policy may be considered in cases of:

  • Sudden contagious illness
  • Medical emergency
  • Severe weather conditions
  • Family emergency

Exceptions are granted at the sole discretion of the office and require documentation.

Non-emergency conflicts such as work schedule changes, travel delays, inability to drive or difficulties with transportation, non-contagious illness or flare up of conditions, musculoskeletal pains, forgotten appointments, or personal scheduling errors do not qualify for policy exceptions.

Commitment to Professional Care

Your appointment time is reserved exclusively for you. These policies are in place to maintain professional standards, protect appointment availability, and ensure consistent care for all clients.

We appreciate your understanding and respect for these policies as part of your commitment to your health and results.

 

Scope of Practice & Medical Disclaimer

Brandon Cope and Brandon Cope Medical Massage operate within the legal scope of practice for licensed massage therapy, personal training, and wellness coaching in the State of Idaho.

Brandon Cope and his team are not medical doctors and do not:

  • Diagnose medical conditions
  • Prescribe medications
  • Perform medical procedures
  • Interpret or provide official readings of medical imaging (including X-rays, MRI, CT scans, or ultrasound)
  • Provide medical treatment or replace the care of a licensed physician

Services provided are educational, therapeutic, and supportive in nature and are not a substitute for medical evaluation, diagnosis, or treatment by a licensed healthcare provider.

Clients are encouraged to:

  • Maintain a relationship with a primary care physician
  • Seek medical evaluation for new, worsening, or unexplained symptoms
  • Obtain physician clearance when appropriate before beginning exercise or manual therapy

Any discussion of symptoms, imaging, posture, movement patterns, or pain is provided for educational purposes only and does not constitute a medical diagnosis.

If you are experiencing severe pain, chest pain, neurological symptoms, shortness of breath, dizziness, suspected fracture, or any medical emergency, seek immediate medical care or call 911.

By receiving services at Brandon Cope Medical Massage, you acknowledge that you understand and accept this scope of practice.

Client outcomes vary and no guarantees of specific results are expressed or implied. Participation in massage therapy or exercise carries inherent risk, and clients voluntarily assume responsibility for their participation

Regular appointments cost $120/hr in cash or card. Insurance is currently not accepted.

Consent and Understanding Agreement

The following is the agreement for clients to receive services from Brandon Cope Medical Massage.

Agree. I understand that the massage and training I receive is provided for the basic purpose of muscular relaxation and growth. If I experience any pain or discomfort during my session, I will immediately inform the therapist/trainer so that the pressure or movement may be adjusted to my level of comfort. I will not hold my therapist/trainer responsible for any pain or discomfort I experience during or after the session. I further understand that massage/training should not be construed as a substitute for medical examination, diagnosis, or treatment and that I should see a physician or other qualified medical specialist for any mental or physical ailment that I am aware of. I understand that massage therapists and personal trainers are not qualified to perform adjustments, diagnose, prescribe medicine, or treat any physical or mental illness, and that nothing said or done in the course of the session given should be construed as such. Because massage/training should not be performed under certain medical conditions, I affirm that I have stated all my known medical conditions, and answered all questions honestly. I agree to keep the therapist/trainer updated as to any changes in my medical profile and understand that there shall be no liability on the therapist/trainer’s part should I fail to do so.
